Privacy Policy

This policy explains what information we collect when you use joeybmaps, mapping sessions with Joey and builds, how we use it, who can see it, and the choices you have.

The short version

  • You own what is in your world. We do not sell personal information.
  • Baldwin Integrated personnel, including Joey, may view and work in your world to deliver sessions, builds and support.
  • AI providers process your content to answer your requests. We do not use your content to train AI models unless you opt in, and never data from Google accounts such as Gmail.
  • Connected accounts share only what you allow, and you can disconnect them at any time.
  • You can export your data or delete your account at any time.

1. Who we are

We are Baldwin Integrated Solutions ("Baldwin Integrated", "we", "us"), based on Maui, Hawaii. We provide joeybmaps on the web and as a phone app, mapping sessions with Joey, and builds.

This policy covers all of these, plus our website at joeybmaps.com (baldwinintegrated.com forwards there), and the emails and texts we send.

2. What we collect

Information you give us

  • Account details. Name, email address, phone number and profile details.
  • Start here answers. Your answers when you sign up, and the tiles suggested from them.
  • Content in your world. Maps, tiles and what you put in them, notes, tasks, people records, calls, photos, files and approvals. It also includes Memory, which shows what the AI knows about you and which you can edit, and voice notes: the Voice tile records audio, keeps the recording, and turns it into text.
  • Messages. Texts, emails and chat messages sent and received through joeybmaps.
  • Calls. When calling is on, recordings and transcripts of calls placed or received through joeybmaps. The other person hears a recording notice when a call starts. Video meetings held in joeybmaps rooms ask the people in them for consent.
  • Session content. What we map with you in sessions, prep notes and session reports.
  • Traveler profiles. If you use the travel tiles, the traveler details you enter: legal name, date of birth, gender, passport number, country and expiry date, Known Traveler Number, redress number and loyalty programs.
  • Location. If you allow it, your device's location, saved on your account for features that use it, such as weather.
  • Payment records. Your plan, billing option, payments and invoices. Stripe handles card and bank details. We never receive or store your full card number.
  • What you send us. Support requests and other messages to us.

Information from accounts you connect

Only when you connect them:

  • Google. Gmail messages (read in full), labels and your profile; joeybmaps can mark messages read and send the emails you send or approve. Google Calendar events, which joeybmaps can read, create, change and delete; Google sends invitations to the attendees you add. Google Contacts, which joeybmaps can read and add to.
  • Microsoft. Depending on what you switch on: Outlook mail (read, organize and send), calendars (read and change), contacts (read), OneNote notes and To Do tasks (read and change). A send-only connection can only send mail.
  • Other email accounts. Mailboxes you connect with an app password. We store the app password so joeybmaps can sync your mail.
  • Fathom. Call recordings and transcripts.
  • Instagram. Direct messages and photos, and comments if that switch is on, for an Instagram business account connected to a world.
  • WhatsApp. Messages sent and received through a WhatsApp Business number on Twilio.
  • Strava. Your activities.
  • Tessie and TeslaMate. Data about your vehicle.
  • Slack. Messages the joeybmaps bot can see in your workspace. If you choose, joeybmaps also posts task, contact, calendar and money updates to a channel.
  • Plaid. Financial account information, described in section 6.

Information collected automatically

  • Usage data. Features you use, pages you view, actions you take, the Operator Points you earn and the AI credits you use.
  • Device data. Browser type, operating system and device identifiers. Like any website, our hosting provider receives your IP address when your browser connects, and so do services your browser loads, such as Google Fonts.
  • Cookies. A signed, HTTP-only session cookie keeps you signed in. Your browser also stores settings such as your theme. joeybmaps uses no analytics or advertising cookies and no tracking pixels.

Information about other people

Your world can hold information about people other than you: contacts in People, senders of emails and messages, people on recorded calls, family members and teammates. We use it only to provide the service to you. You are responsible for having the right to share it with us.

3. How we use information

  • To run the service: your world, map, tiles, agents, sessions and builds.
  • To run AI features: Atlas, the agents, Guide chat, briefings and suggestions.
  • To send messages you need: sign-in codes, reminders, receipts, trial and renewal reminders, and account notices.
  • To bill you through Stripe, and to measure AI credits and the activity allowance. The Radial is unlimited on every plan.
  • To record and transcribe calls and voice notes, when you use those features.
  • To show your financial account information in the tiles that use it, for expense tracking, receipt matching and reporting.
  • To give support and answer your requests.
  • To keep the service secure, prevent fraud and abuse, and fix problems.
  • To improve joeybmaps, by looking at how features are used and by using de-identified, aggregated data that no longer identifies you or anyone else.
  • To turn builds into templates for others, after removing your data.
  • To tell you about joeybmaps and sessions with Joey, for example welcome and follow-up emails after you sign up. You can unsubscribe from these at any time.
  • To follow the law and protect rights, property and safety.

4. Who can see your world

You and your teammates

  • The owner of a world decides who is invited and what each person can see.
  • On Business Pro and Business Operating System, permissions can be set tile by tile.

Baldwin Integrated personnel

  • Baldwin Integrated personnel, including Joey, may view and work in the content of your world, including content from accounts you connect. They do this to deliver sessions, builds and support, keep the service secure and fix problems.
  • When staff view your world as you, they cannot send messages or approve drafts for you.
  • When you sign up, Joey sees your Start here answers so he can follow up with you.
  • Everyone at Baldwin Integrated who can see client worlds signs a confidentiality agreement before they get access.
  • For email that comes from a Google account, our team reads a message only when you ask us to help with it, or when security or the law requires it.

AI agents

  • Agents work inside your world and draft for your approval. See section 5 and AI use (/ai).

5. AI providers

  • To answer a request or run an agent, joeybmaps sends an AI provider the request and the parts of your world the task uses.
  • Our AI providers are OpenAI and Anthropic. Some requests reach them through Replit's AI service, which passes them on. Their business terms do not allow them to train on what we send.
  • AI providers use what we send to generate a response for you. They may keep it for a set period under their own terms, for example to check for abuse, and then delete it.
  • We do not use your content to train AI models unless you opt in, and you can turn that off at any time. Data from Google accounts you connect, including Gmail, is never used to train AI models.
  • When Atlas searches the web for you, the search words go to DuckDuckGo.
  • If you connect Claude, Anthropic's app, to joeybmaps, Claude can read your Memory entries, except the ones you keep out of AI, and add to them. You approve this on a consent screen.

6. Financial accounts and Plaid

  • We use Plaid Inc. ("Plaid") to connect your financial accounts to joeybmaps. When you link an account, you allow Plaid to get your financial data for us.
  • By linking an account, you agree to Plaid's End User Privacy Policy: https://plaid.com/legal/#end-user-privacy-policy
  • Through Plaid we receive:
    • Account holder name and institution name
    • Account type, account name and masked account number
    • Balances, current and available
    • Transactions: date, amount, merchant and category
  • We never receive or store your bank login.
  • We use this data only for financial features in joeybmaps, such as expense tracking, receipt matching and reporting.
  • We never sell your financial data.
  • You can disconnect a financial account at any time. After that, we stop getting new data from it. Data already brought in stays in your world for your history and reports, until you delete it or your account.
  • Financial data from Plaid is stored in our encrypted database.

7. Text messages

  • When you verify your phone number or turn on text notifications, we use your number to send transactional texts:
    • Verification and multi-factor sign-in codes
    • Project and task notifications
    • Team alerts
    • Calendar and scheduling reminders
    • Digests and follow-ups you choose to get by text
  • Message frequency varies with your activity and settings. Message and data rates may apply.
  • Reply STOP to any message to opt out, or remove your phone number in your account settings. Reply HELP for help, or email support@joeybmaps.com.
  • We do not share your phone number or your consent to receive texts with anyone for their marketing.
  • Text opt-in data and consent are never shared with third parties, except the providers that deliver our texts, such as Twilio.

8. Payments

  • Stripe processes payments by card or bank through Stripe Checkout.
  • We never receive or store your full card number or your bank login.
  • We keep records of your plan, payments and invoices.
  • Stripe's privacy policy covers what you give Stripe.

9. Connected accounts

  • You choose what to connect. You can disconnect any account at any time in Settings, under Connect.
  • After you disconnect, we stop getting new data from that account. What was already brought in stays in your world until you delete it, ask us to delete it, or delete your account.
  • Google. joeybmaps' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
  • Meta. To have your Instagram or WhatsApp data deleted, disconnect the account and email privacy@joeybmaps.com. We handle these requests by email.
  • Each connected service has its own privacy policy for what it collects.

10. Service providers

We use service providers to run joeybmaps. They handle information for us only to provide their service, under their terms and our agreements with them. By category:

  • Hosting, database and file storage (Replit)
  • Payments (Stripe)
  • Texts, WhatsApp and phone calls (Twilio)
  • Email delivery (SendGrid and Replit Mail)
  • Financial account connections (Plaid)
  • AI providers (OpenAI and Anthropic, some through Replit's AI service)
  • Web search for Atlas (DuckDuckGo)
  • Maps and place names (Google Maps and OpenStreetMap)
  • Video meetings (Daily)
  • Flight search and booking (Duffel)
  • Call recordings you connect (Fathom)
  • Fonts (Google Fonts)
  • Push notifications (your browser's push service)

We use no analytics or advertising services.

11. We do not sell your information

  • We do not sell personal information.
  • We do not share it with others for their marketing or for targeted advertising. joeybmaps has no advertising trackers.
  • We share it only in these ways:
    • With teammates in your world, as the owner sets
    • With service providers, to run the service
    • With connected services, when you connect them or approve an action through them
    • When the law requires it, or to protect rights, property and safety
    • With a buyer or successor if Baldwin Integrated is part of a merger, sale or reorganization, under the protections of this policy

12. How long we keep information

  • We keep your information while your account is open.
  • If a paid plan ends, your world moves to the Free plan and keeps its data.
  • If you delete your account, a 14-day grace period starts. When it ends, we delete your account and your world's content from our active systems. Deleted data leaves our backups as they cycle out, within 14 days. We may keep de-identified, aggregated data that no longer identifies you or anyone else, including after your account is deleted. We keep it in that form and do not try to re-identify it.
  • We keep payment records for seven years, for tax and accounting.
  • We may keep information longer when the law requires it or to resolve a dispute.
  • We do not delete worlds because they are inactive.

13. Your choices and rights

Export your data

  • Use the Export button in Settings to download a branded report of your whole world: your map, people, tasks, notes, memories, calendar events and tile data, with nothing shortened. You can also email privacy@joeybmaps.com for a complete copy in a common file format, and we will send it within 14 days.

Delete your account

  • To delete your account, email privacy@joeybmaps.com from the address on your account. After we confirm, a 14-day grace period starts. To restore your account during those 14 days, sign in with your usual email and password and press Restore. We review each restore and confirm it by email.
  • On the annual plan, deleting your account ends the plan early. We tell you the early-termination amount before you confirm. See Billing, cancellation and refunds.
  • When the owner of a world deletes their account, the world is deleted with it when the 14 days end, and teammates lose access then.

Other requests

  • You can ask us to show you the personal information we hold about you, correct it, delete it, or stop a use you agreed to.
  • Email privacy@joeybmaps.com. We will check that the request comes from you and answer within 45 days.
  • If we decline a request, we will tell you why. You can appeal by replying to our answer.
  • Some states give you more rights. We will honor them as the law requires.
  • We will not treat you differently for using your rights.

Messages from us

  • Reply STOP to any text to stop texts.
  • Use the unsubscribe link in our marketing emails. You will still get messages about your account, such as sign-in codes, receipts and renewal reminders.

14. Security

We protect your information with:

  • AES-256-GCM application-level encryption for personal data, using a dedicated encryption key
  • Encryption at rest for stored data
  • TLS encryption for data in transit
  • A signed, HTTP-only session cookie
  • Two-step sign-in with one-time codes sent by email, when it is on
  • Role-based access controls and permissions

No system is perfectly secure. If a breach affects your personal information, we will tell you as the law requires.

15. Children

  • Our service is for people 18 and older.
  • We do not knowingly collect personal information from anyone under 18. Children may not have accounts.
  • Parents can keep information about their children in their own world, for example school schedules. It is part of the parent's content.
  • If you think a child under 18 has an account, email privacy@joeybmaps.com and we will delete it.

16. Where information is stored

  • We are based in the United States. joeybmaps runs on Replit's hosting in North America, where your information is stored.
  • Some service providers, such as our AI providers, may process information in other countries.
  • If you use joeybmaps from outside North America, your information is transferred there.

17. Changes to this policy

  • We may update this policy. We will post the new version here and change the date at the top.
  • If a change is material, we will tell you by email or in the app at least 14 days before it takes effect.
  • We will not use information we already have in a materially different way without your consent.
